Boutique studios

The class fills itself. You're not at the front desk.

No spots left, there's a waitlist. No front desk, there's an app.

A boutique studio lives on bookings, not on greeting people at the door. Members pick their class from their phone, the session fills up or goes onto a waitlist, and you open up your timetable without depending on someone standing behind a desk.

The class fills itself. You're not at the front desk.
What you already know

What already happens in boutique studios

  • Classes get filled through WhatsApp messages

You sort out the seven o'clock class by hand, counting messages in a group chat.

  • There's nobody to spare for the front desk

With two instructors teaching back to back, there's no one to stop and take payment or open the door.

  • A last-minute cancellation leaves an empty spot

Without a proper waitlist, nobody takes that spot and the class runs short.

  • Session passes are tracked from memory

Without a system that deducts them automatically, it's hard to know who has classes left and who doesn't.

How Fitmewise solves it

Each pain, with its module behind it

  • Members do the booking, and if it's full there's a waitlist

They book from the app within the window you define, and if the class is full they join a real waitlist: as soon as someone cancels, the first in line moves up.

    Group classes, services and spaces
  • Walk in with the app's QR, with nobody at the door

The turnstile reads the dynamic QR on the phone, the fingerprint or the card; you don't need a person behind the desk to open up.

Fee, access and facility usage control
  • The pass is deducted automatically, class by class

Each booking decides whether it's paid by the fee, the pass or is complimentary, and the sale of the pass is recorded in your accounts without anyone typing it in twice.

    Payments, invoicing and integrated accounting
  • Anyone trying a class doesn't get lost in a notebook

Everyone who books their first class enters your acquisition pipeline, with their stage and who is looking after them.

    CRM and customer lifecycle
  • You sell the welcome pack without stopping the class

A store product —a mat, water, the studio T-shirt— is charged at the same desk and linked to that sale, without duplicating the receipt.

Store and sale of products and services
  • The class they couldn't make, recorded

Members who miss out on a spot in the 7:00 pm class, or who prefer to train at home that day, catch up on it recorded in the Videos tab of their app. You upload the video or link one from YouTube, organized by category, without leaving the studio.

Digital content for members in the app
  • What they thought of the trial class

After the trial class, you send the survey through its own link and let them answer anonymously if they'd rather not give their name. With 12 question types you measure exactly what matters to you, and if they respond while logged in, the response is linked to their record automatically.

    Surveys and feedback collection

LAIA, watching your occupancy class by class

LAIA reads the same timetable you use today: who books, who cancels and which spots stay empty. Ask it why a class isn't taking off and it answers with the data for that class.

  • Tells you which time slots always fill up and which never get going
  • Warns you if a class has had a waitlist for weeks
  • Tells you which members have an unused pass before it expires
A day with Fitmewise

A Tuesday afternoon at a studio with twelve classes a day

At 6:00 pm the reformer pilates class fills up in the app; anyone arriving late goes straight onto the waitlist. At 6:05 pm someone cancels and the system moves the first person on the list up on its own, without anyone picking up the phone. At the door, each member walks in with the QR on their phone: there's nobody permanently at the front desk, both instructors are teaching. At closing time, one member's ten-session pass has dropped to three, deducted class by class, and that sale is already recorded in the month's accounts.

Frequently asked questions

What people ask before deciding

Does Fitmewise work for a small studio with no permanent front desk?

Yes: booking and access are handled by the members themselves from the app or with the QR at the turnstile. You don't need someone behind a desk all day.

What happens when a class fills up?

It goes onto a waitlist. If someone cancels, the first on the list moves up on their own; you also decide whether that list requires having a pass with a balance.

Can I sell single-session passes?

Yes, with an expiry if you want to set one, and the system uses up the pass that expires soonest first when the member books.

Can I control how far in advance a class can be booked or canceled?

Yes, the maximum and minimum notice for booking, and the deadline for canceling without penalty, are configured per branch and per class type.

Does Fitmewise notify people automatically when a spot opens up?

The waitlist updates on its own, but the automatic notice that a spot has opened up isn't built yet: the member checks it in the app. You can, however, ask LAIA about the state of the waitlist, and it answers you in plain language.
